Show context as well as detail
Take a room-level photograph and a closer view from a safe position. Record the date, location, and what the image shows. Keep the original file rather than only a marked-up screenshot. If a picture was taken after a repair, label it that way so it is not mistaken for the original condition.
Build a short evidence sequence
Put earlier reports, management replies, appointments, and work records in date order. Keep enough of an email thread to show who said what and when. Identify missing records instead of filling gaps from memory. A short index explaining each attachment can make a small set of files more useful than a large unorganized upload.
Move the concern toward a documented result
Remove unrelated personal information and identify materials withheld from management. Photograph only places you may safely and appropriately access; do not enter restricted spaces to gather evidence. At completion, preserve comparison photographs from similar viewpoints. They can document appearance while leaving technical verification to the appropriate reviewer.
